Hi all! I’m a new agent based in Arusha, Tanzania. I recently am working on travel company. Where I’m getting stuck and feeling really stressed out is figuring out what a good start-to-finish client workflow looks like.

I’ve found plenty of trainings on specific pieces (like qualifying clients, sending pre-trip documents, etc.), but I haven’t found a solid overview of the full process, from initial inquiry all the way to post-travel follow-up. I'm sure that everyone has their own variations, but looking for a general step-by-step list. I’ll be working in, and I really want to get my systems and processes set up properly so I don’t skip any crucial steps when working with my first clients.

If anyone has a resource, checklist, or example of their process that helped them when starting out, I’d be so grateful for any advice or insight.

Thanks in advance!

Hello - I am a Travel Advisor based in Toronto Canada. I used my marketing background to help me with designing a customer journey that worked for me. As becoming an Advisor is very much an independent endeavour, there is no check list unless you signing up with an agency that includes good training. As an independent, you are most likely going to need to offer to pay for the services of a mentor.

Hi Jasmin, thank you so much for sharing that — I really appreciate it. You’re right, having a marketing background must be a huge advantage for mapping out the client journey. By the way, how long have you been working as a travel advisor? It sounds like you’ve built a really solid process 😊

Thanks again for the insight!

Hey Edson!

Welcome to the travel industry. I'm happy to give you some pointers and be a guide of sorts for you. In the meantime, I find tools like ChatGPT or Google Gemini to be helpful in giving me steps on how to work a booking from start to finish. I'll reach out to my mentor to see if we have any other resources. Are you signed to an agency? I'm with Envoyage.

Let me know how I can be of help!

Hi Martin,

Thank you so much for reaching out and offering to help. I really appreciate it!

What I’m looking for specifically is a clear, start-to-finish client workflow: the full process from the initial inquiry all the way to post-travel follow-up. I’ve found plenty of advice on individual steps like sending pre-trip documents or qualifying clients, but I’m struggling to see how it all fits together in one seamless process.

If you have any resources, checklists, or even an example of how you personally handle a client from start to finish, that would be incredibly helpful. Any guidance on setting up systems so I don’t miss important steps with my first clients would be amazing.

Thanks again for offering your support!

Sorry for the delay in response, Edson. Still getting used to another networking site! Anyway, let me see what I can find (and can give you access to).

Hi Edson! I guess that each of us has a unique style. I run a small agency, and we changed our process quite a few times, because we though of new ideas, ways to work, etc. What I would ask you would be: imagine being the client, you, yourself, what would it be the ideal path that you would love to be driven through when booking a trip to Tanzania?
That's how we work and how we decide on changes. Take your time, think wild (as your company's name haha), think out of the box, and design according to that.

Hi Edson,

A while ago I have downloaded a Trello template from www.travelbizboss.com that could be very helpful as a starting point to you. If you can't find it online I have share it with you via direct message.

Another biz mentor profile in the field that I like a lot is www.travelprotheory.com

I wish you a lot of success in your new position!

Best,
Rodrigo
